How To Reserve a Meeting Room

Meeting Room FYI

  • Room rental fees apply to all groups renting rooms on the Hatfield campus for mission-related events, with the exception of OSU faculty, staff and students who are exempt from room rental fees. Room rental fees are waived for co-located partners ODFW, USFWS, NOAA, MOC-P, USDA, USGS and EPA.

  • Rental fees may sometimes be waived for community partners hosting mission-related events with Director’s office approval on a case-by-case basis. Co-located and community partners are responsible for all service fees associated with a room rental.  

  • Room rental fees range between $65 - $450/day depending on space type, occupancy, and standard equipment. Fees are per-day unless noted. 

Library Seminar room:

  • Located in the Guin Library, this is the Center's largest meeting room. The seminar room is furnished with tables and chairs which can be rearranged. The room has two entrance doors, one with a reception table, the second coming from a small lobby. Food and non-alcoholic drinks may be served here if prearranged with the Meeting Room Coordinator and can be set-up in either entrance lobby. 

  • Availability: The library’s hours are 8 am-5 pm Monday to Friday and this room is unavailable for non-HMSC use when the library is closed. The room can be booked up to three months in advance of the event date. Bookings longer than two days must be approved by the Director’s Office.

  • Equipment: 80" monitor equipped with speakers for presentations operated by a PC with HDMI ports and internet access at a podium; large portable whiteboard; room camera and microphone for web conferencing; speakerphone (541) 867-0356. Free wireless access in the entire library. 

  • Capacity: 48 (24 max at tables, plus 24 additional chairs).

Barry & Carol Fisher room:

  • This smaller conference room is located in the Guin Library with flexible room arrangement. Food and non-alcoholic drinks may be served here if prearranged with the Meeting Room Coordinator. 

  • Availability: The library's hours are 8 am-5 pm Monday to Friday. Unavailable for non-HMSC use when the library is closed. This space can be booked up to six months in advance of the event date.

  • Equipment: 80" monitor equipped with speakers for presentations operated by a PC with HDMI ports and internet access; large portable whiteboard; room camera and microphone for web conferencing; speakerphone (541) 867-0101. Free wireless in the entire library building.

  • Capacity: Up to 16 at movable tables. Hollow square is the standard setup in the room.

Lavern Weber room

  • This smaller conference room is located in the Guin Library and it has a flexible room arrangement. Food and non-alcoholic drinks may be served here if prearranged with the Meeting Room Coordinator. 

  • Availability:  The library's hours are 8 am-5 pm Monday to Friday. Unavailable for non-Hatfield use when the library is closed. This space can be booked up to six months in advance of the event date.

  • Equipment: 80" monitor equipped with speakers for presentations operated by a PC with HDMI ports and internet access; large portable white board; room camera and microphone for web conferencing; speaker phone (541) 867-0132. Free wireless in the entire library building. 

  • Capacity: Up to 12 at movable tables. Hollow square is the standard setup in this room.

Janet Webster Room (aka The Fishbowl)

  • The Janet Webster room is available for use on a drop-in basis during the library's open hours: Monday - Friday 8:00 a.m. - 5:00 p.m.
